Terms & Conditions

These Terms and Conditions (“Terms”) govern the services provided by Reunion Coffee Cart (“we,” “our,” or “us”) and your use of our website at reunioncoffeecart.com. By requesting a quote, submitting a booking, or using our services, you agree to be bound by these Terms. Please read them carefully.
1. Services
Reunion Coffee Cart is a mobile coffee catering company based in San Antonio, TX, serving weddings, corporate events, private parties, and other events throughout San Antonio and the Texas Hill Country. Our services include on-site espresso and specialty beverage service using our mobile coffee cart, as detailed in each custom quote we provide.
All service details — including beverages, serving duration, staffing, and any add-ons — will be confirmed in a written booking agreement sent to the client prior to the event. The booking agreement supersedes any prior verbal discussions.
2. Booking & Deposit
A booking is not confirmed until both of the following are received:
- A signed booking agreement from the client
- A non-refundable retainer (deposit) as specified in your booking agreement
The deposit amount is applied toward your total balance and reserves your event date exclusively for you. Until the deposit and signed agreement are received, your date remains available to other clients.
The remaining balance is due no later than 14 days before your event date unless otherwise stated in your booking agreement. Failure to remit final payment by the due date may result in forfeiture of the booking.
3. Cancellations & Rescheduling
Cancellation by client:
- More than 60 days before event: Retainer/deposit is forfeited; no additional charges apply.
- 30–60 days before event: Retainer/deposit is forfeited; 50% of the remaining balance is due.
- Fewer than 30 days before event: Full contract amount is due.
All cancellation requests must be submitted in writing via email to hello@reunioncoffeecart.com. Cancellations are effective on the date we receive your written notice.
Rescheduling:
We will make every reasonable effort to accommodate rescheduling requests. One complimentary date change is permitted if requested at least 60 days before the original event date and subject to our availability. Additional date changes or requests made with less than 60 days’ notice may incur a rescheduling fee as noted in your booking agreement.
Cancellation by Reunion Coffee Cart:
In the rare event we must cancel due to circumstances beyond our control (equipment failure, severe weather, illness, etc.), we will notify you as soon as possible and provide a full refund of all amounts paid, including the deposit. Our liability is limited to the refund of payments received; we are not responsible for any consequential losses.
4. Event Requirements & Client Responsibilities
To ensure a successful event, the client is responsible for providing:
- A flat, stable, and accessible surface for the cart (minimum 10’ × 10’ footprint recommended)
- Access to a standard 120V electrical outlet within 50 feet of the cart location (if required by the selected package)
- Clear vehicle or cart access to the setup location
- Accurate event timing and location information at least 7 days in advance
If site conditions prevent us from operating safely or as agreed (e.g., no power access, inaccessible terrain), we reserve the right to modify services accordingly. We will work with you to find a reasonable solution; however, no refunds will be issued for client-caused site issues.
5. Service Hours & Overtime
Services are provided for the duration and hours specified in your booking agreement. If you request an extension on the day of the event and we are able to accommodate it, overtime will be billed at the rate specified in your agreement (or our then-current hourly rate if not specified), payable on-site or within 48 hours of the event.
6. Beverages & Menu
Our standard menu includes espresso-based drinks, drip coffee, and seasonal specialty beverages as outlined in your quote. Specific menu items are subject to ingredient availability. We reserve the right to substitute a comparable item if an ingredient becomes unavailable, and we will communicate any substitutions in advance whenever possible.
We are happy to accommodate common dietary preferences (e.g., dairy-free milk alternatives) when requested at the time of booking. Reunion Coffee Cart is not a certified allergen-free facility; clients with severe food allergies should advise guests accordingly.
7. Alcoholic Beverages
Reunion Coffee Cart does not provide, serve, or supply alcoholic beverages. Any coffee-based cocktail service (e.g., espresso martinis) that involves alcohol supplied by the client or venue is the sole responsibility of the client and must comply with all applicable Texas state laws and venue regulations.
8. Limitation of Liability
To the fullest extent permitted by applicable law, Reunion Coffee Cart’s total liability to you for any claims arising from or related to our services shall not exceed the total amount paid by you under the applicable booking agreement.
We are not liable for indirect, incidental, special, or consequential damages, including but not limited to lost profits, loss of enjoyment, or damages arising from circumstances beyond our reasonable control (including extreme weather, natural disasters, acts of third parties, or venue-related issues).
9. Indemnification
You agree to indemnify and hold harmless Reunion Coffee Cart, its owner, employees, and contractors from any claims, losses, damages, or expenses (including reasonable attorneys’ fees) arising from: (a) your breach of these Terms; (b) your negligence or willful misconduct; or (c) inaccurate or incomplete information you provided in connection with your booking.
10. Photography & Marketing
We love documenting our work! We may photograph or video our setup and service at your event for use on our website and social media channels. If you prefer we do not, please notify us in writing before your event date and we will respect that request.
11. Intellectual Property
All content on this website — including text, photos, graphics, and branding — is the property of Reunion Coffee Cart and may not be copied, reproduced, or used without our prior written consent.
12. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict-of-law provisions. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in Bexar County, Texas.
13. Changes to These Terms
We reserve the right to update these Terms at any time. Changes will be posted on this page with a revised effective date. Your continued use of our website or services after changes are posted constitutes your acceptance of the updated Terms. For active bookings, the Terms in effect at the time of your booking agreement govern your event.
